What is the conference registration fee?

  • CVOA Members: $595 plus tax
  • VO-CON Sponsors: $495 plus tax
  • Early Bird for Non-Members (until June 30): $695 plus tax
  • Regular for Non-Members (July 1 onwards): $795 plus tax

When is the deadline to register?

What airport do I fly into?
Book your flights to/from Vancouver, British Columbia YVR is serviced by most major airlines. 

How do I get to Whistler from YVR?
Vancouver International Airport offers convenient on-site car rental service from Avis, Budget, Dollar/Thrifty, Enterprise, Hertz and National/Alamo. Alternately, you can take an airport limo or shuttle service, relax and enjoy the scenery on the 2 hour ride. Once you arrive, Whistler is a pedestrian village.

What is Whistler Village like?

What are the Fairmont Chateau Whistler rooms and rates?
The VO-Con rate is $249.00CAD plus taxes per night, in a deluxe slope side view room.

Deluxe Slopeside View Room
Deluxe Slopeside View Rooms feature a cozy sitting area and a fully equipped work station with High Speed Internet Access and Wi-Fi. Enjoy the morning sun as it rises over Blackcomb Mountain from the comfort of your spacious Deluxe Slopeside View guest room. Maximum occupancy is four people. All guest rooms are non-smoking.

  • Room Size 400 sq.ft. / 37 sq.m
  • Bed Type: One King or two Queen beds
  • View: Slopeside Blackcomb Mountain

Please reserve your hotel room accommodations through the conference registration website and pay for your stay directly to the hotel upon check-in. The VO-Con room block is limited, so book early!

Please note:
there is a mandatory daily resort fee of $15.00 that covers many hotel amenities including health club access, yoga classes, tennis facilities, Whistler Village Shuttle Service, Fairmont car service, business internet access and more.

How do I make a Hotel Reservation?
You can reserve your Slopeside View Room at the VO-Con rate of CAN $249.00 plus taxes. The cut-off date is August 28.
Just use this link VO-Con room block is limited, so be sure to book early!

Can I extend my hotel stay?
Please use the hotel reservation link or phone the hotel directly ( +1-604-938-8000) if you would like to stay longer than the conference dates. This is subject to hotel availability and cannot be guaranteed.
 
Can I upgrade my room?
Upgraded suites in the hotel may be available for an additional cost. Please contact the hotel directly for availability and rates. This is subject to hotel availability and cannot be guaranteed.

Does the Fairmont charge for wi-fi?
Wifi is included in the daily resort fee.

What are the hotel check-in / check-out times?
Check-in: 4:00pm / Check-out: 11:00am

Is there parking at the hotel?
If you decide to drive, the parking rates are:
Self-park: $37.00 plus taxes CAD per day or Valet-park: $42.00 plus taxes CAD per day

When should I arrive?
If you are attending the Board of Directors Meeting, plan to arrive in time for the 1:00pm start.
If you are attending the CVOA Annual General Meeting, plan to arrive in time for the 1:45pm start.
The September 23 Networking Activities and Cocktail Reception starts at 7:00pm.  

What is the VO-Con dress code?
Whistler is a laid-back resort where the dress code is always Mountain Casual. We’ve adopted this relaxed style in our conference dress code:

What should I pack?
The conference dress code is “mountain casual”.  
Dress in layers as the weather can change quickly! It is also recommended to bring a sweater and comfortable walking shoes.
 
How do I cancel or change my registration?
Please contact our Conference Manager, Michelle Clarke, email [email protected] You can get a full refund for cancellation on or before August 14, 2019; however, there will be a 20% administration fee applied. There is no refund for cancellations after August 14, 2019. 
 
What do I do if I want to ship my conference materials in advance?
Please contact our Conference Manager, Michelle Clarke, email [email protected] – she will supply you with shipping labels.

Do I need a Visa to travel into Canada?
From the US: American citizens must carry proper identification and meet the basic requirements to enter Canada. You do not need a Canadian passport, a Canadian visa or an Electronic Travel Authorization (eTA) to enter Canada if you are travelling with a valid U.S. passport.

From Mexico: As of December 1, 2016, you will need an Electronic Travel Authorization (eTA) to travel to Canada. Applying for an eTA is a simple online process that takes just a few minutes and costs only $7.00CAD. To apply, you must have a valid passport or acceptable travel document, a credit card, and an email address. Here is a link.
Note: If you already have a valid Canadian visa you don’t need to apply for an eTA. You can travel with your visa until it expires.

What is the weather like in Whistler?
The weather is usually quite mild in September, with an average high of 67oF/19oC and an average low of 44F/7oC.

What time zone is Whistler in?
British Columbia is in the Western time zone. As British Columbia observes the Daylight-Saving time, the time during the conference will be GMT-7.

What is the sales tax?
Purchases in British Columbia are subject to 7% provincial sales tax and 5% federal sales tax.
